Cloud ERP Staffing Needs You Must Plan For

Get In Touch

You’re planning a cloud ERP implementation. The timeline is set and the goals are clear. But without the right talent in place, delays can happen quickly and costs can rise.

Cloud ERP staffing should never be an afterthought. Whether you’re preparing for a go-live later this year or planning a major system upgrade, the people you hire, and when you hire them, can determine whether your project stays on track.

Why ERP Projects Struggle Without the Right Team

According to Gartner, by 2027 more than 70% of recently implemented ERP initiatives will fail to fully meet their original business case goals. As many as 25% will fail catastrophically.¹

Several factors contribute to these outcomes, but execution challenges are among the most common. Many organizations underestimate the level of expertise required to implement an ERP platform successfully.

ERP projects depend on specialists who understand both the technology and the business processes behind it. These professionals must coordinate across departments, configure complex systems, and support users through major operational changes.

Finding the right talent at the right time can be difficult. Experienced ERP consultants are often committed to projects months in advance, especially for large enterprise implementations.

When staffing plans fall behind the project schedule, teams may struggle to secure the expertise they need. New hires brought in late often require time to understand the system, the organization, and the project goals. That delay can slow progress during critical phases. Planning staffing early helps avoid these risks and keeps the implementation moving forward.

Key Roles in a Cloud ERP Implementation

Planning your ERP staffing strategy starts with identifying the roles required to deliver the project successfully. Most cloud ERP implementations rely on a mix of leadership, functional, and technical specialists.

  • Program or Project Manager: Leads the overall roadmap, manages timelines, coordinates teams, and keeps stakeholders aligned throughout the project.

  • Functional Consultants: Configure system modules, translate business requirements into system setup, and guide user testing. These roles often represent the largest portion of ERP hiring.

  • Technical Architects: Design system architecture, manage integrations, oversee data migration, and handle custom development needed to connect the ERP platform with other systems.

  • Change Management Leads: Prepare the organization for the new system, support user adoption, and help ensure the platform delivers value after go-live.

  • QA and Testing Analysts: Validate system builds, identify defects before launch, and support testing throughout each release cycle.

Securing these roles early, and with the right level of experience, helps keep implementations organized and controlled.

Platform Expertise Matters

While every ERP implementation requires these core roles, many projects also need specialists with deep experience in the specific platform being deployed.

  • Oracle Cloud ERP: Consultants typically need strong knowledge of modules such as Human Capital Management (HCM), Supply Chain & Manufacturing (SCM), and Financials. Experience managing Oracle’s quarterly updates and testing cycles is also important.

  • Microsoft Dynamics 365: Successful implementations often involve consultants who combine Finance and Operations or CRM expertise with knowledge of Power Platform and Azure integrations.

General ERP experience can be helpful, but hands-on knowledge of the specific platform is essential. Consultants unfamiliar with the system can slow progress during key phases of the project.

When to Staff Your ERP Team

Staffing milestones should be built directly into your ERP project plan so the right talent is secured before pressure builds.

12–16 Weeks Before Go-Live

Begin sourcing program managers, technical architects, and lead consultants. These roles are often the most difficult to fill and the hardest to replace once the project begins. Senior ERP professionals are rarely available on short notice, so early outreach is critical.

8–12 Weeks Before Go-Live

Secure functional consultants by module and workstream. By this stage, the project structure should be clearly defined, making it easier to match consultants to specific delivery areas.

4–8 Weeks Before Go-Live

Finalize QA analysts, change management leads, and additional support resources. These roles are generally easier to source, but they still need time to onboard and prepare for testing and user readiness phases. Top ERP talent is often committed two to three months before many organizations begin searching. Starting early increases your chances of securing the expertise needed for a successful implementation.
